Stock Transfers


Many businesses are required to process stock movements for purposes other than customer orders, for example:

  1. Stock transfers to a different warehouse

  2. Stock transfers to a retail store

  3. Returns of stock to suppliers

  4. Moving stock to offsite storage

  5. Sending stock to 3PL fulfilment channels such as Fulfilment by Amazon (FBA)


Picking transfers using Peoplevox

The most efficient method of retrieving stock for a transfer is by utilising the Peoplevox sales order picking functionality. To do this, you must first create a Sales order with details of the transfer and the items which should be on the order. This can be done manually in the web-application or can be completed by CSV file upload (see guide). A unique sales order number is required and, ideally, this should be identifiable internally for reporting purposes (e.g. "FBA_12345").

Once the Sales order is imported into Peoplevox, it will behave like any other customer order. Stock will be allocated against it and it can be released in an action as part of the normal process. We would recommend using the following picking methods for large single orders:

  • PICK: 1 person picks 1 sales order at a time

  • PICK: Pick for stores*

  • PICK: Pick by zone*

Paid Features: Pick for stores and Pick by zone are chargeable features. You need to raise a ticket with the PVX helpdesk to have this option enabled on your account.

After the order is picked

Once the transfer order has been picked, there are several options:

  • 'Quick Despatch' the order. This is an option in the 'Sales' tab of Peoplevox that allows the order to be marked as despatched without the requirement to follow the normal despatch process. This can be an appropriate action if traceability of the order is not required from this point (e.g. FBA replenishment).

  • Follow the normal despatch process. The items can be scanned at a despatch bench and split into separate packages for their journey to the destination location. For example, in replenishing a retail store you may send stock in packages with a courier service - Peoplevox can help manage this process, defining which items are in which package (possibly with a packing note) as well as providing relevant information to your carrier integration partner in order to produce shipping labels.

  • Cancel the order. Cancelling the order after pick will result in all items remaining in the despatch locations to which they were picked. From here, items can be moved to other locations in Peoplevox, including locations in a separate site. This can be appropriate in cases where you may be moving stock to a warehouse that is physically close to the original warehouse (e.g. off-site storage).

In a case where the location you are shipping to also uses PVX, you can use the Purchase Order functionality to reconcile the transfer on receipt. The purchase order should contain the sale items that were despatched from the source warehouse, ideally broken down by package for additional accountability.

After a transfer sales order is despatched from the source warehouse (either using quick despatch or the standard despatch process), data about what has been despatched can be obtained using the reporting module ("Despatch summary" and "Despatched items by package" reports). This information can then be used to create a Purchase order to receive the transfer at the destination warehouse.


Recipient warehouse does not use Peoplevox

When transferring stock to a location that does not use PVX (e.g. a retail store), it may still be possible to set up electronic reconciliation of the transfer. Many other platforms do support an equivalent of purchase orders. Peoplevox reporting should be able to provide the data required to create such a purchase order in another platform.
