Searching and Checking Inventory Levels

Searching for items in PVX

Most tabs within the web app contain ‘Search’ and ‘Advanced Search’ options for the objects in the tab. The ‘Advanced Search’ allows you to search using several defined criteria at once. Regular searches can be saved to enable faster execution. Each user can maintain their own list of ‘saved searches’ within the system.

You can search the inventory from the Items tab in the Warehouse module.

The web app contains the most powerful search function, but you can also search for the locations of items in the mobile app.


Using 'Search' in the web app

The ‘Search’ option is used to perform a general search of the listings within a tab. You can only search using a single value such as a number of piece of text.

  1. Enter the number or text you want to find. If you untick the Match text exactly checkbox then the system will search for any objects that contain that text anywhere. With the box ticked, the text must appear as a separate word.

  2. Click Search. The results are displayed in the tab.


Using 'Advanced Search' in the web app

The ‘Advanced Search’ option is used to perform a more detailed search of the listings within a tab. You can search using several values and criteria at once when using the ‘Advanced Search’ option.

  1. Select an option from the Search for dropdown list. The list contains appropriate options for the tab you are using. When searching for items, the dropdown list contains all the possible types of information that can be recorded about an item in PVX.

  2. Select an option from the second drop-down list. The list will contain mathematical operators for numerical options, or conditions such as ‘Equals’, ‘Contains’, etc., for text-based options.

  3. Enter a search value for the selected option.

  4. Click Add. The first search criterion is added to the box below.

  5. Repeat steps 1-4 to add a second search criterion and continue as required until all the criteria are set up. You can refine your search by using the AND or OR logic to set up conditions, or use brackets to create more complex search filters. AND is used by default to link the different search criteria. You can remove a criterion by clicking it in the box and then clicking Remove. Clicking Clear deletes the entire search expression.

  6. When you have set up your search filter, click Search.

Regular searches can be saved to your user account with a unique search name. To save a search:

  1. Set up the search filter as described above and click Save.

  2. Enter a unique name for the search filter in the dialog and click Save. The search will appear in your list of Saved searches underneath the search filter box. Individual users will only be able to view their own saved searches.

Saved searches can be used by clicking on the search that you want to perform, which then runs immediately.


Searching inventory in the mobile app

Your warehouse inventory can be searched from the PVX mobile app. You can search for items or you can search the contents of locations.

  1. Tap and then tap Search Inventory.

  2. Choose whether to search locations or items by swiping to either side of the Search screen.

To search locations:

  1. Scan a location barcode or enter part of a location name or barcode using the keypad.

  2. Tap the location from the list of search results. A list of the items in that location is displayed.

To search items:

  1. Scan an item barcode or enter part of an item name or barcode using the keypad.

  2. Tap the item from the list of search results. A list is displayed showing the locations where that item is held. Tap the location to view details about the item. If an item is not currently held in the warehouse, the item details screen only is displayed.

Note: You can display the details of an item at any time by tapping . This screen also allows you to print the item's label (by selecting the printer and print template) or change the item's barcode.


Inventory levels

Inventory levels reflect both the quantity of an item held in the warehouse and the status of that quantity. PVX recognises five inventory levels which are displayed in the Items tab of the web app.

Inventory levels may be affected by transactions in the WMS. A transaction is any action undertaken against an item within PVX. When the transactions below are performed, different inventory levels will either increase (+), decrease (-) or may increase or decrease depending on the circumstances (+/-):
