Reports


The Reports tab in the PVX web app provides tools for creating and generating reports on all aspects of the data in the warehouse management system (WMS), from transaction reporting to user activity rates. You can use the Reports tab to filter and sort the data and then export it in a *.csv file format, making it accessible to other software packages used by your business.

Overview

The Reports section of the web app is divided into two main screens:

  • The report list shows a complete list of all system reports, personal reports that you have created, and custom reports that other people have shared with you.


  • The report detail screen is where you can run and see the results of specific reports.


On the report detail page, you can customize the filters to be applied to the report, as well as the columns that will be displayed, sort conditions, and more.

  • General: Enter a name if you want to save the current report configuration as a custom report. After you save the report, it appears in the My Reports section.

  • Filter: Define the filters used to narrow the report results.

  • Columns: Select the columns to include in the report results. You can also group the results and apply aggregations, such as counts and sums, to the selected columns.

  • Sort: Select one or more columns to sort the report results. The first selected column is the primary sort. If multiple rows have the same value in that column, the remaining selected columns are used as secondary sort criteria, in the order you specify them.

  • Limits: Set the maximum number of results the report returns based on the selected sort column.

  • Share: After you save the report as a custom report, share it with individual users or entire roles.


Generating and saving a report

To generate or save a report, follow these steps:

  1. Click the report name in the reports list. You can search for a report by entering keywords from the title in the Search for report box at the top of the Reports menu.

  2. Make any required changes to the report. You can click Save report definition to save the report under the My Reports section.

  3. Click Run report in the report display panel. The report will be displayed on the screen, often on multiple pages. You can move through the pages and change the length of each page using the options at the very bottom of the report display panel.

  4. Click Export to CSV to save the contents of the report.

Note: Very large reports may only show the first 1000 rows in the Reports tab; to see the full report you need to view the *.csv file in a suitable software package such as Microsoft Excel. You can also use the exported *.csv file to combine the data with those from other reports.

Sharing a report

To share the report:

  1. Once the report is saved, click the Share tab.

  2. Tick the checkboxes for the users or roles on your PVX account with which you want to share the report.

  3. Click Save report definition again.


System reports

There are many predefined reports that have been created for you to use in PVX. Some of these are used to support system dashboards or can pass information to your e-commerce system or sales platform, but many can also be used to analyse your warehouse operation and improve your management processes. The most widely used of these reports are described in the table below. Some reports perform calculations that aren't available elsewhere in the application. Those calculated columns are also described here.

Buy items

Analyses items sold to customers recently and calculates expected demand; use for forecasting inventory needs to assist with ordering from suppliers, and identifying trends in demand for products.

  • Quantity despatched in last 30 days: Total number of units of this item despatched in the last 30 days

  • Quantity despatched over the same period last year: Total number of units despatched between (today - 1 year and 30 days) and (today - 1 year)

  • Back order quantity: Quantity outstanding (not yet received) on open purchase orders

  • Expected for delivery in next 30 days: Quantity outstanding on open purchase orders with an expected delivery date in the next 30 days

  • Rate of sales over last 60 days: The average (mean) quantity despatched per day over the last 60 days

  • Number of days available stock remaining: The current available quantity, divided by the rate of sale above, for example if the rate of sale is 2, and current availability is 10, then there are 5 days of available stock left


Days of stock

Estimates number of days of inventory available for each item based on average sales per day over previous 30 days.

  • 30 Day Sales: Total of all quantities of the item that have been shipped in the last 30 days.

  • Avg. Sales per day: Takes the total units shipped in the last 30 days and divides it by 30 to get a daily average.

  • Days of Stock:

    • If the item has had sales in the last 30 days: Divides the current available stock by the average daily sales to estimate how long stock will last.

    • If the item has had no sales in the last 30 days:

      • Returns 30 days if there is stock available

      • Returns 0 days if there is no stock available


Goods in over receipt

Shows items received against purchase orders; use for identifying orders not reconciled for auditing purposes.


Goods in summary

Provides full traceability of items received items into warehouse.


Outstanding purchase orders

Displays items ordered against items received including orders part-received or over-delivered (does not show cancelled or complete POs); use to determine availability of ordered goods and assess supplier performance. This report includes goods in information, which means some PO data may appear duplicated for orders with multiple receipts.


Outstanding purchase orders (without goods in)

Displays items ordered against items received including orders part-received or over-delivered (does not show cancelled or complete POs); use to determine availability of ordered goods and assess supplier performance. This report does not include goods in data, which means that purchase order information is not duplicated here.


Purchase order summary

History of purchase orders received into your warehouse.

Despatch reports

Despatch value by payment method

Examine correlation between sales order values and how they are paid for.


Despatch by service type

Determine most used carriers and service types.


Despatch summary

Provides full visibility of each despatch, related carrier services, sales orders, tracking numbers and items despatched; does not include data on packages.

  • No. of parent items despatched: If the item on this row of the report represents a kit, then this column indicates the total number of the parent item shipped so far.

  • Parent: If the item on this row of the report represents a kit, then this column indicates the item code of the parent item.


Despatched items by package v5

Provides full visibility of each despatch (as in Despatch summary) but including data on packages. This report is limited to the last month of data, but it is advised to always apply a date filter when running this report or you may not receive results.


Despatched items by package v5 archive

Provides full visibility of each despatch (as in Despatch summary) but including data on packages. This report is limited to only shipments that are older than one month, so cannot be used to retrieve recent packages, but can be used for historical reporting. You should always apply a date filter when running this report or you may not receive results.

Inventory reports

Empty locations

Lists locations containing no inventory; identify available locations for stock movements (such as manual put-away) or use as basis for complete redistribution of inventory.


Inventory snapshot

Displays current location of all inventory in warehouse, taken from latest snapshot (compiled at midnight each day), so report filtered by 'Date is yesterday'. Note: Does not present live values. Previous snapshots can be retrieved by adding filters for the two dates that fall either side of the time that the required snapshot was taken.


Item availability latest reconciliation

Lists the most recent changes in availability of items with reasons.


Item inventory by location

Summarises quantity and location of inventory (ignoring levels); use to determine locations of specific groups of items and to assist with targeted stock takes. Note: Does not include picked items that are awaiting despatch.


Item inventory summary

Lists quantity and inventory level (on hand, allocated, available and unallocated awaiting despatch) of all items currently in warehouses on each site; use to identify items requiring reordering, buy and retail prices, and inventory within item groups. Note: Does not report on out-of-stock items.

  • Unallocated awaiting despatch: The difference between the total required (based on undespatched sales order items in the system), minus the total already allocated, minus the total expected on inbound POs. For example, 20 units needed across all open sales order items. 10 units already allocated. 5 units inbound on a purchase order. This leaves 5 units still required.


Item inventory summary all sites

Similar to Item inventory summary except all items listed (whether or not in stock) across all sites.


Out of stock items

Lists items out of stock in last 30 days; use to identify trends in demand for products and supplier performance. Note: You MUST apply date filters to prevent this report being excessively long, as otherwise it generates separate lines for each day that an item is out of stock.

  • Out of stock date: Indicates the date that the item was out of stock.


Physical stock reconciliation

Lists changes in quantities of items on hand with reasons.

Stock movement reports

Failed actions

Lists any item and location skipped during picking, with details of when resulting failed action was handled; use to monitor picking process efficiency.


Item movement history

Gives full visibility on each movement of inventory in warehouse in past 30 days (by default), including from and to locations, reasons and comments; use to investigate errors in inventory levels in locations. Notes: 1) Times of movements are based on mobile device synchronisation. 2) Does not include removals. 3) Lists returns by item not sales orders.


Items registered with reason

Use to monitor use of Register function in Goods In.


Items removed

Lists items removed from stock with reasons; use to identify trends and note who handles removals.


Pick detail

Detailed report on completed picking actions including when action was created, started and finished, who picked items and which items were skipped; use to monitor efficiency of picking process.


Picked and not despatched items

Use to check that all picked items have been despatched.


Stock take locations

Lists stock take actions by location, including who performed the stock take and when; use to monitor stock taking processes.


Incremental changes v1

Shows every change in availability of each item and why it occurred; use to support integrations that need to keep inventory in sync with warehouse, but aren't able to use event subscriptions.

Sales reports

Items revenue

Shows revenue for items in sales orders; use to identify trends in demand for products.

  • Revenue: The total sales value for the item on that sales order line.


Outstanding sales orders

Lists details of sales orders not fully allocated, picked or despatched, including if Stop Ship option selected; use to monitor order fulfilment process and inform purchasing of customer requirements.


Revenue by customer

Use to identify top customers by revenue or quantity of items ordered. Note: Does not show item codes.


Sales by country

Identify top destinations for sales orders; may affect despatch carrier and service choices.


Sales by item

Lists sales volumes and prices for each item, and current inventory levels versus quantities sold.


Sales order summary

Displays current status of sales orders, who picked each order and despatch date versus expected delivery date; use to monitor order fulfilment process.


Sales order update history

Provides timeline of changes in status of sales orders; use to monitor order fulfilment process.


Sales orders

Lists basic sales order header data and whether order is for single or multiple items (used in dashboards).


Sales orders allocated

Use to determine quantities of items being processed for order fulfilment versus total inventory levels.


Sales orders by status

High-level report that displays sales order number, status and requested delivery date, without any default filtering.


Stock valuation

Displays cost price valuation of inventory for all items based on purchase order receipts and current inventory levels.

  • SKU average cost price:

    • Calculates the average cost of your current stock based on what you paid for it when it was received.

    • Takes the current stock quantity, and looks back in time to find goods receipts (starting with the most recent) to cover that quantity. The price is then calculated from the PO line item price associated with those receipts.

    • For example, with 20 units in the warehouse, the report looks back to find goods receipts for at least 10 units. In the example that we have 2 received against a PO with cost 15, and before that, 20 received at a price of 10:

      • The 2 most recent at 15 each contribute 30

      • The repot then needs to find 8 more from earlier receipts, so it takes 8 at 10, for a total of 80

      • It sums the two, to get 110, then divides by the current quantity in the warehouse, to get an average cost price of 11 per unit

  • Stock valuation indicator: Explains confidence in the calculation:

    • Calculated
      Enough purchase history exists to fully explain the current stock.
      → Cost is fully based on known receipts.

    • Estimated
      There is more stock on hand than can be matched to known purchase records.
      → Cost is partially inferred from available data. It calculates an average price based on the total quantity for which it can find goods receipts, and then applies that average to all units in the warehouse, even if there is more in the warehouse than was received.

    • No cost price available
      No usable cost data exists.

The various stock value figures are simply the relevant quantity multiplied by that average cost price.

Returns reports

Returns summary

Provides detailed summary of all items returned from customers; use to reconcile returns versus customer credits, and identify specific product failures or return trends.

Labour management reports

User activity

Lists all activities performed by system users (receiving, picking, stock taking, despatching, handling returns); use to monitor productivity of operators, such as pick rates.


User activity history

Provides a more detailed, granular view of user activity across both web and mobile.

This report tracks individual activities, per user, within each session. A session is the time between the user logging on to the application and logging out at the end of their shift.

This report uses some column names that do not appear on other reports:

  • The session identifier is a unique ID that record's a specific user's login session. The same user will be given a unique session identifier each time they log in to the application.

  • The activity type is the broad category of work that the user performed, such as goods in, despatch, picking, etc.

  • The activity sub-type is a more granular description of specifically what activity the user performed, such as the specific pick method used.

  • The units processed column describes how many items were handled as part of the activity, for example how many items were received or picked.

  • The orders processed column represents the number of sales orders or purchase orders (whichever is relevant) were touched by the activity.

  • The device type distinguishes between web and mobile users, and the device ID uniquely identifies the mobile device on which the activity was performed.


Users active now by activity

Displays aggregated current activity by active users; use to identify trends in workload during shifts.

Replenishment reports

Replenishment by allocation

Displays all products that need to be replenished from bulk to pick in order to meet current allocation demands. Data is summarized by item, and will indicate multiple bulk sources if possible.


Replenishment by sales order

Similar to the replenishment by allocation report, but with a focus on individual order replenishment. This report is summarized at the order item level, which allows you to prioritize replenishment tasks based on carrier cutoff times or order delivery SLAs.

Editing reports

You can modify many aspects of a system report using the tabs in the editing panel and then save the report definition under My Reports for use again in the future. You can also share your reports with other users of your PVX system.

Note: When editing a report, remember to click Save report definition before selecting another report in the reports tab. If you leave a report without saving your changes, they will all be lost.


Applying filters

You can add or modify the filters on any report to search for specific data for including in the report.

  1. Select the report in the Reports menu.

  2. Click the Filter tab.

  3. In the Search for box, select the column to which you want to apply the filter from the drop-down list.

  4. In the next two boxes, set up the criterion you want to use in the filter.

    • The options given will vary depending on the column selected. Numerical data can be related to another quantity selected from the drop-down list in the Search value box, or to a specific value that you can enter.

    • Text can be used as a filter which is/is not identical to or does/does not contain another variable selected from the drop-down list in the Search value box, or to a specific word or string of text that you can enter.

    • Dates or time periods can be defined specifically or related to a relative time period ('Today', 'Last week', etc.).

  5. Click Add. The new filter is displayed in the box with the default filter (if present).

  6. Continue to add filters as required and relate them to each other using the And or Or options in the first box in the tab. Click Remove to delete the last filter added. Click Clear to delete all filters.

  7. Click Run report at any time to view the effect of your filters.

Note: Some reports handle so much data that filters must be used or they will take too long to run. These reports contain default filters. You can change these default filters or replace them with others, but at least one filter must be set before you can run these reports.


Hiding and grouping columns

System reports by default show all the columns defined for a particular report. You can hide one or more of these when generating the report:

  1. Select the report in the Reports menu.

  2. Click the Columns tab.

  3. Untick the checkbox for the column(s) you want to hide. Tick or untick the Select all checkbox to select or unselect all columns.

You can also group the data in a report and compare it against other variables to summarise the report data more concisely or identify trends and correlations:

  1. Select the report in the Reports menu.

  2. Click the Columns tab.

  3. Click No grouping / No Calculation for the first column whose data you want to group.

  4. Select the grouping option from the drop-down list. The options depend on the column you have selected. Group by value will combine all lines in the report with the same value of the column variable. Use Count for numerical values to sum the total number in the report.

  5. If required, you can change the column heading shown in the report by entering text in the Column heading to display box.

  6. Repeat steps 3-5 for other columns in the report that you want to group together. To remove a grouped column, click No grouping / No Calculation from the drop-down list (you will not be able to untick the check box).

Example: In the Despatch summary report, set the column groupings as follows

  • Item name - Group by value

  • No of items - Count

  • Item code - Group by value

Click Run report and you will see a consolidated list of all recent despatches which lists the item name, the item code and how many of those items were despatched.

Sorting data

You can sort the data in a report using any column:

  1. Select the report in the Reports menu.

  2. Click the Sort tab.

  3. In the Order by box, select the column you want to use to sort the report from the drop-down list.

  4. Choose whether the sorting should be done in Ascending or Descending order.

  5. Click Add.

  6. Continue to add sort conditions as required. These wil be applied sequentially to your report data. Click Remove to delete the last sort condition added. Click Clear to delete all conditions.

  7. Click Run report at any time to view the effect of your sort conditions.

Applying limits to data

You can limit the data displayed in a report to the top x variables in a particular column:

  1. Select the report in the Reports menu.

  2. Click the Limits tab.

  3. In the box alongside Limit to top, enter a value for the number of distinct records to which you want to limit the data.

  4. Select the column to use for the limit condition from the drop-down list.

  5. Click Run report at any time to view the effect of your limit condition.
